Reports to:     Principal, Vice Principal, Executive Secretary

 

Job Goal:       To perform clerical responsibilities in the Middle School in accordance with the policies of the City of Salem BOE and the educational goals of the district.

 

 

PERFORMANCE RESPONSIBILITIES:

 

  1. Responsible for the registering of new students, returning students, transfers and withdrawals. This information must be completed in full and accurately so that it is ready for computer entry by the Guidance Office.
  2. Responsible for mastery of the computer-based system used for the recording of student attendance.
  3. Responsible for collecting attendance information from homerooms daily.
  4. Responsible for recording students’ attendance daily.
  5. Distribute daily attendance list, ISS list, and early dismissal list. Note DFR’s, withdrawals, and newly registered students.
  6. Distribute early dismissal passes and late passes to students.
  7. Verify student absence through class attendance, by phone or when necessary have the truancy officer make a home visit.
  8. Responsible for the return of attendance materials to homeroom teachers.
  9. File student verification forms and notes from parents.
  10. Calculate average daily attendance for and report it to food service and the school secretary (monthly).
  11. Complete attendance report of non-resident students to Board Office and sending districts (monthly/annually).
  12. Complete Federal Aid Survey (fall).
  13. Complete and distribute District monthly/annual report of average daily enrollment, attendance detail, attendance summary to BOE and four sending districts.
  14. Responsible for gathering and verifying student residency.
  15. Duplicate any forms necessary for the operation of the attendance office.
  16. Maintain an orderly assigned workstation.
  17. Responsible for filing forms pertaining to student registrations and withdrawals as well as monthly and annual reports.
  18. Answer the telephones.
  19. Transfer calls to the appropriate person or office.
  20. Greet visitors, parents, students, and staff as they enter Main Office area.
  21. Obtain a general familiarity with the high school and school district and how they operate.
  22. Sort and distribute incoming USPS mail daily.
  23. Must gain knowledge of the operation of all office equipment.
  24. Perform such other clerical responsibilities as may be assigned by the Administrator.
