Assistant Business Administrator

ROLE OVERVIEW

The Assistant Business Administrator will play a key role in supporting the School Business Administrator in maintaining the highest level of fiscal business management and accountability of the district.


MINIMUM REQUIREMENTS

  • A minimum of a bachelor’s degree in Finance, Accounting, Business Administration or comparable area from an accredited four-year university or college
  • Possess or be eligible for the New Jersey School Business Administrator’s Certificate
  • A thorough understanding of the Generally Accepted Accounting Principles (GAAP) established by the Governmental Accounting Standards Board, school budget preparation and internal control systems
  • At least five (5) years experience in finance and/or budgeting and accounting
  • At least three (3) years supervisory experience
  • Required criminal history background check, physical and proof of U.S. citizenship or legal resident alien status
PREFERRED QUALIFICATIONS
  • At least three years of experience in a K-12 district as an Assistant School Business Administrator or a School Business Administrator preferred
  • At least three years of experience in accounting and/or auditing
  • Knowledge of Generally Acceptable Accounting Principles (GAAP)
  • New Jersey school district business experience

    ROLE & RESPONSIBILITIES

    Major responsibilities of the role include, but are not limited to:
    • Assist the School Business Administrator in the management of the Business Office
    • Manage Business Office personnel and oversee day-to-day operations for the following teams/functions: Payroll, Reporting, Purchasing, Accounts Payable, and Receivables
    • Cultivate a team-oriented culture for direct reports that emphasizes quality, continuous improvement, retention, development and high performance
    • Evaluates operating procedures and makes strategic recommendations for payroll, purchasing, accounts payable, and revenues/receivables, with a focus on efficient customer service and compliance with internal controls
    • Assists the School Business Administrator with the review and approval of purchase orders, payrolls, fund transfers and other financial transactions requiring Business Office approval
    • Ensures Business Office work systems are efficient and functional
    • Coordinates and submits the preparation of state and federal financial reports required for payroll, purchasing, accounts payable, revenues/receivables
    • Collaborates with Senior Director, Grants to prepare and complete federal grant reports
    • Collaborates with Senior Director, Accounting and Audit to complete the reconciliation of all cash and account balances in collaboration
    • Reviews, gathers documentation, and prepares responses to Open Public Records Act (OPRA) requests
    • Assists the School Business Administrator in reviewing and revising the District’s current standard operating procedures (SOP) and budget/financial internal controls to safeguard the District’s assets
    • Assists in recruiting, screening, hiring, supervising and evaluating personnel for positions in the Business Office.
    • Performs, in the absence of the School Business Administrator/Board Secretary, the responsibilities of the School Business Administrator/Board Secretary
    • Perform other duties as assigned by the Supervisor or Supervisor’s designee
