CLASSIFICATION: 12-Month Secretary

QUALIFICATIONS: 1. High school diploma with high school business/secretarial training

  1. Post high school training in secretarial procedures and computer operations preferred
  2. Experience in a school system preferred
  3. Good typing and word processing skills. Proficient in Word and Excel.
  4. Excellent operational knowledge of transportation software

REPORTS TO: Business Administrator, Transportation Coordinator

JOB GOALS: To assist in the efficient operation of student transportation services and other administrative assignments.

PERFORMANCE RESPONSIBILITIES:

Transportation

  1. Assist the Transportation Coordinator in the following areas:
    • Placement of students on buses
    • Prepare bus passes
    • Prepare specifications for transportation bids and submit advertisement
    • Preparation of annual DRTS reports
    • Update student database used to transport students, regular and special education students
    • Coordinate the enrollment of students with each school as it relates to student transportation
    • Design private school routes and prepare bids
    • Prepare and send special education routes to the Gloucester County Special Services School District
    • Prepare and notify all parents of aide in lieu
    • Prepare all contracts and purchase orders for transportation
    • Review invoices for payment of transportation contracts
    • Coordinate all contractual arrangements through jointures, parental contracts, affiliation agreements with other school districts

Maintenance Facilities

  1. Assist the Business Administrator in the following areas:
    • Track and input all maintenance work orders
    • Prepare bid specifications for custodial/maintenance supplies
    • Type all maintenance related purchase orders
    • Act as safety committee secretary and assist safety coordinator in implementing safety program

General Duties

    • Responsible for home instruction reports and record keeping
    • Performs other duties and assignments as assigned or directed by the District Office Administration
