SECRETARY/RECEPTIONIST FOR THE OFFICE OF THE SUPERINTENDENT OF SCHOOLS

Non- Represented – 12-month position

 START DATE 2-3-25

 
SALARY:
Starting at $52,000, negotiable based on experience, and prorated for the period of employment.

 

QUALIFI                           QUALIFICATIONS:

  • Must have experience in a secretarial capacity, preferably executive secretarial experience or prior employment in a school office.
  • Must have a minimum of a high school diploma, advanced training preferred.
  • Must have demonstrated competence in an executive office environment and excellent customer service aptitude; oral, written, and electronic communication and collaboration skills.
  • Must be proficient in office technology, current office software, computer and mobile device skills, and email.
  • Must be a problem solver and self-directed learner; take initiative; maintain confidentiality; and have good time management skills, good interpersonal skills, an ability to conduct research and access information quickly, and an ability to manage multiple projects at one time.

                    

REPORTS TO:  Superintendent

 JOB GOAL:    To assist in the administration of the district’s central office operations with effective customer service; and to provide confidential secretarial assistance to the Office of the Superintendent. 

 

 

PERFORMANCE RESPONSIBILITIES:

 

1.       Welcome visitors to the Administration Building and direct them to the appropriate location or staff member; Help to problem solve to meet internal and external visitors’ needs and to answer questions.

2.       Function as main “operator” for the central office, answering phone calls from the public and staff and routing calls to proper school/department; place service calls for equipment.

3.       Perform secretarial work and confidential work as assigned by the Superintendent or designee, including assisting with calendar maintenance, phone messages, and social media postings.

4.       Collect, open, stamp, and distribute incoming mail.

5.       Assist Registration with documentation collection, scanning,proofing and posting to Genesis.

6.       Assist with Purchase Orders and Invoices.

  1.     Ensure that district policies and administrative rules are current and maintain a review and revision log. Ensure a steady flow of policy update information to central office administrators and the Board of Education.

 

8.       Coordinate with Accounts Payable to maintain an adequate balance on postage meter to meet building departments’ needs.

9.       Inventory and order supplies for admin copy room including fax machine and copier; order paper for district distribution.

10.   Assist central office departments with projects, e.g., special mailings, meeting materials preparation.

11.   Coordinate meeting schedule for reserving administration building conference room.
